Kyocera Sales Toolkit Portal PRIVACY STATEMENT

Kyocera Document Solutions Europe Management B.V. (“Kyocera, “we” or “us”), located at Bloemlaan 4, 2132NP Hoofddorp, The Netherlands, issued this Privacy Statement (“Statement”) to inform you, the user of the Kyocera Sales Toolkit Portal (“Portal”), about the processing of your personal data while you are using the Portal.

We may update this Statement from time to time.

INTRODUCTION

In this Statement, we will explain in detail the following:

  1. For which purposes we are processing your personal data;
  2. On what legal basis we are processing your personal data;
  3. With whom we share your personal data;
  4. To which countries we transfer your personal data;

I.               FOR WHICH PURPOSES ARE WE PROCESSING YOUR PERSONAL DATA?

In order to provide the Portal to you and enable you to use the benefits of the Portal to the full extent, Kyocera processes your personal data to the purposes listed below.

  1. Provision of the Portal and your user account. In order to use the Portal, we have created a user account for you, which allows you to log into the Portal and access the provided information. We use your name, email address and password to provide these services.
  2. Contact details. In case you gave your permission, we publish your name and contact details relating to your customer references published on the Portal. This will allow other colleagues to reach out to you.
  3. Feedback Form. If you want to share your feedback, ideas or experiences on the Portal, you can contact us via the feedback form. We ask you to provide your name and email address so that the Portal administrators/editors may get in contact regarding your feedback. Any other additional information you share is voluntary.
  4. Analytics. We use Google Analytics on the Portal to get a better understanding about how the Portal is used and improve the Portal accordingly. The last octet of your IP address is masked, which ensures neither Kyocera nor Google can identify you.

II.              ON WHAT LEGAL BASIS ARE WE PROCESSING YOUR PERSONAL DATA?

Regarding purposes A, C and D Kyocera processes your personal data based on its legitimate interests (Article 6(1)(f) GDPR, whereas Kyocera’s legitimate interests consist of providing the Portal to enhance engagement and collaboration of employees throughout Kyocera’s EMEA group companies to share their experience and increase sales. These interests are legitimate and do not overweigh the users’ interest regarding their personal data.

Regarding purpose B, Kyocera processes your data based on your consent (Article 6(1)(a) GDPR. Your consent is voluntary and you may withdraw your consent at any time with future effect by contacting kde-privacy@deu.kyocera.com.

III.             WHO ARE WE SHARING YOUR PERSONAL DATA WITH?

In order to provide the Portal, Kyocera uses Engagement Factory B.V., Netherlands, to host the Portal. Your personal data is not transferred outside the EU/EEA. No personal data is transferred to Google Analytics.

IV.            INTERNATIONAL TRANSFERS

We do not transfer your personal data outside the EU/EEA.

V.              FOR HOW LONG DO WE KEEP YOUR PERSONAL DATA?

Kyocera deletes your personal data once you request us to delete your user account or your employment with Kyocera is terminated  . 

VI.            WHICH TECHNICAL AND ORGANIZATIONAL MEASURES WE HAVE TAKEN

We take the security of your personal data very seriously and take all reasonable efforts to protect your personal data from loss, misuse, theft, unauthorized access, disclosure or modification.

VII.           YOUR RIGHTS

According to the applicable data protection law, you have the following legal rights that we wish to inform you of:

  1. The right to access your personal data.
  2. The right to rectify your personal data in case it is inaccurate or incomplete.
  3. The right to have your personal data deleted (“right to be forgotten”).
  4. The right to restrict the processing of your personal data.
  5. The right to object to the processing of your personal data.
  6. The right to Data portability.
  7. In case you provided your consent, you may withdraw your consent at any time.
  8. You can lodge a complaint with the applicable data protection Supervisory Authority.
